Plans change. You can move a lesson to a new time, make it longer or shorter, or cancel it altogether — all from the Calendar, with the family kept in the loop automatically.
Where you do this
Everything here happens on the Calendar (the second item in the left sidebar). It’s your timetable, so reschedules and cancellations are a direct, hands-on edit rather than a buried form.
Move a lesson to a new time
On Today, Week and 3 days, you can drag a lesson straight to a new slot — and on Week and 3 days, onto another day:
- Open the Calendar in Today, Week or 3 days.
- Drag the lesson to its new time. It snaps to 15-minute intervals, so you land cleanly on the quarter-hour, and the lesson keeps its length as it moves. You can do the same from the keyboard with the arrow keys.
- As you drop it, LessonLoop runs a quick conflict check — for the teacher, the student and the room — before it confirms the move.
- Release to confirm. The lesson settles into its new time.
In Month view, open the lesson instead and edit its date and time in the panel — the same conflict check runs when you save. From the keyboard on any drag view: focus the lesson, arrow keys to move it (left and right change the day, up and down the time), Enter to confirm, Escape to leave it where it was.
Move a lesson to a different teacher
On a day with two or more teachers teaching, the day view splits into one lane per teacher. Dragging a lesson across into another teacher’s lane reassigns it to that teacher — and a diagonal drag changes the time and the teacher in a single movement. The arrow keys do the same thing.
Reassigning is a real change, not a cosmetic one: it clears any substitute cover already arranged on that lesson, and both teachers are told. How the lanes themselves behave is up to you — see lanes, density and colour.
Heads up If the new slot clashes with another lesson, you'll be warned before anything is saved, so you can pick a different time. See Avoid clashes for how the checks work.
Change how long a lesson is
- Open the lesson on the Calendar.
- Choose a Length. The chips are the lengths your studio prices — your default lesson length and every rate card’s — plus Other for any length from 15 to 240 minutes (25, 35, 50, whatever you teach). If the length you pick has no rate card of its own, the form says so, tells you which rate the lesson will bill at until one exists, and offers Add a … rate right there. See rate cards.
- Save. The conflict check runs as you save, so a longer lesson can’t quietly overlap the next one.
Recurring lessons: this one, or all future?
When you move or change a lesson that’s part of a repeating series, LessonLoop asks how far the change should reach:
- This lesson only — adjusts the single occurrence and leaves the rest of the series exactly as it was. Use this for a one-off swap.
- This and all future lessons — applies the change to this lesson and every one after it. Use this when the regular slot has genuinely moved.
Earlier lessons in the series are never touched either way.
Cancel a lesson
Open the lesson and choose Cancel lesson. The cancel dialog gives you three things to decide before you confirm:
- A reason (optional) — included in the message families receive.
- Issue a make-up credit to each student — ticked by default, so a cancelled lesson turns into a credit the student can rebook. Untick it if no credit is owed.
- Notify the families by email — ticked by default. Leave it on and LessonLoop sends the cancellation (with your reason and rescheduling guidance) for you; untick it for silent housekeeping changes families don’t need to hear about.
Once cancelled, the lesson leaves your calendar views. It stays on the record — the register, reports and the family’s history keep it — and Display → Show cancelled lessons (or the “cancelled hidden” chip) brings cancelled lessons back into view, struck through.
Cancelling because the student couldn’t attend? You may want to mark them absent on the register instead — absence reasons drive make-up credits by your policy. See Make-up credits explained.
Good to know Your default notice expectations and cancellation wording live under Settings → Organisation → "Reschedule & cancellation policy", so the message families receive matches how your studio works.
Delete a lesson made by mistake
Booked the wrong thing? Open the lesson and choose Delete. It leaves the calendar and the teacher’s Google Calendar, and nothing is sent to families. Delete only works while nothing hangs off the lesson: if it has been taught, has a register, a make-up credit or offer, an invoice line, a released place, or a family’s unanswered change request, LessonLoop refuses and offers Cancel it instead — a cancellation keeps the record straight. For a repeating series you choose just this lesson or this and all future ones; if any lesson in that set is refused, none are deleted.
