Invite teachers and admins

Updated 4 September 2026 · 2 min read

Once your studio is set up, you can bring in the people who teach and help run it. Each person gets their own sign-in, sees only what their role allows, and a teacher gets a profile families can see.

Where teachers live

Teachers are managed under the People group in the left sidebar.

The People page opens on a Teachers | Team & access control. Teachers is the roster — names, instruments, pay and availability. Team & access is where you invite people and choose their role, and it’s only shown to owners and admins.

Teaching on your own today? A studio with no colleagues yet has a top-level Locations row where the People group would be. Adding or inviting your first team member is what brings the People group in — the invite is the unlock, so you don't have to change plan or ask anyone to switch it on.

Invite a teacher

  1. Go to People, then open Team & access (or, from the Teachers roster, select Invite a teacher).
  2. Select Invite, enter their name and email address, and pick a role (see below).
  3. Select Create invite.

That’s all the invite itself needs — name, email and role. Their teaching profile (instruments, a short bio, availability and pay or rate details) is filled in afterwards from the Teachers roster, once they appear there. Families and the timetable use this profile, so it’s worth completing.

Send the invite

Invites go out by email. The teacher receives a link to set their own password and finish their account — they don’t need an existing LessonLoop login. If email isn’t an option, you can copy the invite link and share it yourself.

An invited teacher gets a slimmer setup than a studio owner: they confirm their details and land straight in their day, rather than walking through the full studio wizard. Until they accept, the invite shows as pending under Team & access, where you can copy the link again or revoke it.

Choosing a role

A person’s role decides what they can see and do. LessonLoop has four:

  • Owner — full control of the studio, including billing and the subscription. Usually you.
  • Admin — runs the studio day to day, but not the studio’s own subscription.
  • Finance — the money side: invoices, payments, family accounts and reports. Finance does not see Messages, and does not see Enquiries — so the whole Growth group is absent for them.
  • Teacher — sees their own lessons, students and pay. The billing area sheds its admin framing and presents as “My pay & mileage”, and there’s no Settings row in their sidebar — they open Settings from the avatar menu.

Pick the role that matches what the person actually does. You can change someone’s role later from Team & access, so it’s fine to start cautious and widen access as you go. For the full row-by-row picture, see who sees what.
