Who it fits

Schools that teach in lessons and terms.

LessonLoop manages the shape of the work rather than the subject. If your week is registers, terms and termly fees, it fits — whatever is being taught in the room.

Speech and drama

LAMDA and Trinity graded work taught one-to-one and in pairs, alongside weekly classes. Grades and instruments are configurable, so a pupil’s record reads the way your school talks.

Musical theatre and singing

A Saturday of classes plus private coaching in the week, on one timetable, billed to one family account per household rather than one per activity.

Dance and movement grades

Graded and private lessons with per-pupil termly fees, make-up credits by policy, and a register that a teacher marks from a phone between classes.

Teaching mostly in schools rather than your own studio? That is the multi-site academy shape — locations, visiting teachers and registers without fixed clock times.

The teaching year

Terms, half terms and closures — set once.

Your terms are real objects, not a spreadsheet tab. Set the dates, add the closures, and every lesson, invoice and register follows them without being asked twice.

  • ✓ Term dates, half terms and bank-holiday closures applied across every teacher at once
  • ✓ The Term Planner rolls a term forward — same child, same slot, next term — in one pass, with anyone leaving unticked before it runs
  • ✓ Week, day and month views across every site, with teacher lanes so a busy Saturday reads as one grid
  • ✓ Clashes caught across teacher, room and pupil before they reach a parent

Registers

Marked in the corridor, not at midnight.

One tap per pupil on a phone. The same record feeds the invoice, the make-up credit and the teacher’s pay — so a register taken properly is the last time anyone touches that lesson.

  • ✓ Present, absent, late or cancelled, each saving on its own — no separate save step
  • ✓ Absence reasons that carry your rules: whether a credit is earned, whether the slot is released, and a per-term cap
  • ✓ Registers for lessons with no fixed clock time, grouped per site, per teacher, per day, with a running order you can reorder
  • ✓ An unconfirmed queue, so nothing is invoiced from a lesson nobody marked

Termly money

The billing run does the term.

Fees come from the lessons that are actually on the timetable, not from a list somebody retyped. One run, one preview, one set of invoices.

Invoices

Termly, half-termly or per lesson.

Generate a term’s invoices in one run, see what it will produce before it produces it, and send from your own email address on your own domain.

  • ✓ Rate cards per instrument, subject, lesson length or teacher
  • ✓ Payment plans and instalments across a term, collected as each date arrives
  • ✓ Automatic late fees, and a reminder ladder that leaves a Direct Debit family alone while a collection is in flight
  • ✓ VAT-aware invoicing, and a one-way sync of invoices and payments into Xero

Family accounts

One household, one balance.

Three siblings in four different activities still produce one account, one statement and one conversation — with prepaid credit and part payments landing where they should.

  • ✓ A running statement per family that reconciles to the penny
  • ✓ Card payments and Bacs Direct Debit into your own Stripe account
  • ✓ Group classes billed per pupil, not per booking
  • ✓ Refunds, write-offs and credit notes recorded, with an audit log behind them

Parents

A portal on your own domain.

Schedules, invoices, messages and practice in one login, at your school’s address rather than ours — so the thing you ask families to use looks like your school.

  • ✓ This term’s schedule, every invoice and a Direct Debit card that parents manage themselves
  • ✓ Email from your own address, with consent and per-family delivery status
  • ✓ WhatsApp reminders as an optional prepaid pack, currently in early access. There is no SMS channel
  • ✓ Public booking pages and an embeddable widget for enquiries from your own website

Teachers, venues and the numbers

Every teacher, every studio,
one set of figures.

Thirteen reports, each built from lessons that actually happened — so payroll, profitability and utilisation all reconcile to the same register.

Staff and venues

Unlimited teacher accounts on the School plan. Sites and rooms on every lesson, substitutes without rebuilding the week, and pay rates per lesson, hourly or as a percentage. Each teacher sees only what their role allows.

The reports

Revenue, outstanding, payroll, P&L, event profit, billable hours, expenses, mileage, lessons delivered, cancellations, utilisation, attendance and teacher performance — by week, month, term or a custom range, with CSV out.

LoopAssist

The only AI that does the admin.

Ask in plain English. It proposes the change — the invoice drafted, the lesson moved, the balance chased — and nothing happens until you confirm it.

Propose, confirm, execute

A Morning Brief on what needs you today, insight cards on what has drifted, and actions that wait for your word before they run.

Your school, from your assistant

The MCP connector lets ChatGPT and Claude answer questions about your own school. It is read-only today — it reads, it does not change anything.

On both plans

LoopAssist is included on Solo and School. The School plan carries double the daily actions. There is no separate AI tier to buy.

Straight answer

What LessonLoop does not do.

It is the question a performing-arts buyer arrives with, and it costs nothing to answer it before you spend an afternoon finding out.

Not in the product

LessonLoop runs teaching, not productions. There is no box office, no ticketing, no seating plan, no costume or props inventory and no merchandise shop. There is no SMS channel; WhatsApp is an optional prepaid pack in early access. The Xero sync is one-way — invoices and payments go out to Xero, nothing comes back. The ChatGPT and Claude connector is read-only today.

  • No ticketing or box office
  • No seating plans
  • No costume or props inventory
  • No merchandise shop
  • No SMS
  • Xero sync is one-way

If your show sells tickets, keep the tool that sells them. What LessonLoop replaces is the timetable, the registers, the termly invoicing and the parent chase — the work that runs every week of the term. Support is UK-based and replies within one UK working day, so you can ask before you commit.

The price as you grow

Add a teacher for the summer show. The price does not move.

Published list prices, read from each vendor’s own pricing page. A performing arts school that hires in for a production is exactly where a per-teacher meter bites.

Team size MyMusicStaffMakeMusic StudioMy Music Lessons LessonLoop
1 teacher ~£13~£16£9.95 £15 Solo
5 teachers ~£29~£31£21.75 £39
8 teachers ~£40~£43£30.60 £39
15 teachers ~£67~£70£51.25 £39
30 teachers ~£125~£128£95.50 £39

Every price above was read from that vendor’s own pricing page on 4 September 2026. US list prices converted at approximately $1 = £0.78 for comparison only — the rate moves, and what a UK card is charged depends on the vendor’s own checkout. GBP prices are as published. LessonLoop is £15 a month Solo — one teacher, unlimited pupils — and £39 a month School, with unlimited teacher accounts and unlimited pupils. The School price is the same at three teachers or thirty. Run it on your own numbers, or read the full comparison tables.

Questions

Performing arts, answered.

Is LessonLoop actually built for performing arts schools?
It was built at, and runs, a 500-pupil UK music school. What it manages is the shape of the work, not the subject taught: terms and closures, registers, make-up credits, per-pupil termly fees, family accounts and a parent portal. A speech and drama school running LAMDA grades, a musical theatre school running weekly classes and private singing lessons, and a music school all run on the same spine. If your school teaches in lessons and terms, it fits. If it is primarily a venue selling tickets, it does not — see “what we do not do” above.
Can we run classes and one-to-one lessons side by side?
Yes. Group lessons and classes bill per pupil rather than per booking, so a class of twelve produces twelve lines on twelve family accounts, and a private coaching slot in the same week sits on the same timetable. Attendance for both feeds the same invoice, the same make-up credit rules and the same payroll figure.
How do make-up credits work when a pupil misses a class?
You choose the policy and LessonLoop enforces it. Each absence reason carries its own rule: whether it earns a credit at all, whether the slot is released for someone else, and how many credits a pupil can earn in a term. A credit takes its value from your rate card, so it is worth what the missed lesson cost, and it expires after the number of days you set. Credits show on the pupil’s profile as available, used or expired.
Can parents pay termly fees by Direct Debit?
Yes — Bacs Direct Debit through your own Stripe account. The family sets the mandate up themselves from the parent portal, because a Direct Debit is the payer’s authority and no school should be able to create one on their behalf. With autopay on, invoices and payment-plan instalments are collected as they fall due. Bank debits take up to four working days to confirm, and a family being collected from is left out of your reminder ladder while it is in flight.
We teach across several studios and a hired hall. Does that work?
Yes. Locations and rooms are first-class: every lesson carries a site and a room, clashes are caught across both, and the week view shows teacher lanes so a Saturday across three studios reads as one timetable. Teachers can be paid per lesson, hourly or on a percentage, and payroll reports trace back to the lessons actually taught.
What does it cost, and what happens when we take on more staff?
The School plan is £39 a month — or £390 a year, which is £32.50 a month — with unlimited teacher accounts and unlimited pupils. Adding your tenth teacher does not move the price. Solo is £15 a month for a single teacher with unlimited pupils. The trial is 30 days with no card, and migration is guided and free on every plan.
