Reminders and late fees

Chasing overdue money is one screen in LessonLoop, not three. Settings → Billing & subscription → “Reminders and late fees” holds the reminder ladder, a switch to pause every reminder at once, and the optional late fee — so the whole of your dunning behaviour is set in one place and read in one glance.

Not in Communications Settings → Communications → Notification preferences carries lesson reminders only. Chasing overdue invoices lives in Billing.

The reminder ladder

Reminders are automatic. You set how many days after an invoice’s due date each nudge goes out, and LessonLoop sends them on that ladder until the invoice is settled — then stops on its own.

  1. Open Settings, then Billing & subscription, and select Reminders and late fees.
  2. Set the reminder days — the number of days after the due date at which each reminder is sent.
  3. Save. The ladder applies studio-wide, to every family.

Every reminder carries a pay link. A family should never have to hunt for the invoice they’re being reminded about, so the way to pay travels with the nudge.

The pause switch

Sometimes you want the chasing to stop for a while — a summer break, a billing correction you’re still working through, a week where you’d rather speak to families yourself. The same screen carries a switch that pauses reminders for the whole studio, without you having to unpick the ladder and rebuild it later. Turn it back on and the schedule resumes exactly as it was.

The late fee

A late fee is a small charge posted to a family’s account once an invoice has been overdue for a set number of days. It’s optional and off by default.

  1. On the same screen, choose the type of fee:
    • None — no late fee is ever added. This is the default.
    • A fixed amount — a flat charge, for example £5, regardless of the invoice total.
    • A percentage — a proportion of the outstanding balance, for example 5%.
  2. Set the grace period — how many days an invoice can be overdue before the fee applies, so families get a little breathing room after the due date.
  3. Save.

Once switched on, the fee is applied automatically — checked once a day — to any invoice past its due date plus your grace period. The original invoice is never changed; the fee is posted as a separate charge on the family’s statement, so it shows in what they owe overall.

To stop charging, set the fee type back to None. Fees already charged stay on the family’s statement; overdue invoices simply pick up no new ones.
