Term dates, a closure, a room change, a fee chase — some messages go to a lot of families at once. Rather than copying the same text into twenty threads, write it once and choose who receives it.
Where it lives
- Messages → Message a group — the general one.
- Billing & Finance → Invoices → Overdue tab → Message debtors — the same composer, pre-aimed at everyone who owes you.
Choose who
Pick an audience:
- All families
- Overdue (debtors) — everyone with an unpaid, overdue invoice. This audience also shows the total owed beside the count.
- By student status
- By teacher
- By location
The composer shows a live recipient count as you choose, so you always know how many families you’re about to reach before you commit.
Choose how it’s sent
Pick a Channel — In-app or Email — and then a message type. The type matters:
- Service message — operational: fees, schedule changes, closures. Service messages (fees, schedule, closures) reach everyone — no opt-in needed.
- Marketing — newsletters and promotions. Marketing email only reaches families who opted in, and includes an unsubscribe link. Anyone who hasn’t opted in is skipped.
Add an optional Subject and your Message, then send. The button tells you exactly what’s about to happen — it reads Send to your recipient count, not a vague “Send”.
One batch reaches up to 500 families. Bigger than that and you’ll be asked to split it — a deliberate brake, not a licence limit.
Pick the right type Sending a fee chase as Marketing would silently skip every family who never opted into your mailing list — the people you most need to reach. Fees, schedules and closures are Service messages.
Before your first bulk email
Bulk email is switched on per studio, and stays off until the owner activates it — a deliberate guard so a new studio can’t accidentally email its whole roster while still setting up. In-app delivery works immediately either way.
If you want your bulk emails to come from your own studio address rather than the shared one, set that up first: send from your own email address.
