Add a student

Adding a student creates their record in LessonLoop — the profile that everything else (lessons, attendance, invoices and messages) hangs off. Use this when you’re enrolling one student at a time. To bring across a whole roster in one go, import your students instead.

Where to start

Students has its own item in the left sidebar. Open it, then select New student (top right). On a phone, Students is one of your bottom tabs.

Good to know The button is New student, not "Add Student". You can also reach the same form from anywhere with ⌘K / Ctrl-K search.

Fill in the details

The form is short — only the first and last name are required, and you can always come back to add the rest later.

  1. First name and Last name — both required.
  2. Email (optional) — the student’s email, if they contact you directly.
  3. Phone (optional) — a contact number for the student.
  4. Date of birth (optional) — their profile then shows their age. Staff-only; never shown in the parent portal.
  5. Tags (optional) — free labels for grouping and filtering, like grade-3 or scholarship. Type one and press Enter or comma to add it. Tags are staff-only — keep them general; don’t put sensitive or safeguarding details in a tag.
  6. Default teacher (optional) — who normally teaches this student. This pre-fills when you book a lesson, so you’re not re-choosing each time. Leave it as No teacher assigned if you’re not sure yet.
  7. Lesson rate (optional) — leave it blank to use your rate card, or set a custom per-lesson price just for this student.
  8. Guardian (optional) — the parent’s email and name, right on the form. Add them here and the guardian account is linked from the start — or skip it and link one from the profile later.
  9. Notes (optional) — anything you want to remember about this student.

Save and what happens next

Select Add student and the student appears in your roster. From their profile you can book lessons, add practice notes, and view their billing — see student profiles and notes.

Add the rest from their profile

The New student form keeps the initial step quick. Once the student exists, open their profile to build out the fuller picture — such as the instruments and grades they’re working on, a default location for lessons, and any further guardian details beyond the name and email you added on the form.

A guardian is the person you bill and message about a student. Linking one from the profile means a family with siblings can sit on a single account: add each child, link them all to the same parent, and you bill them once.

If you’re tracking someone who hasn’t signed up yet — a trial or a waiting enquiry — keep them in the Enquiries pipeline (the segmented control on the Students page) and convert them to a student when they join.
